Dual role of PA to the MD and Corporate Bookings assistant

Independent Talent Group are looking for an experienced assistant with exceptional administrative skills to work across two offices – PA to the Managing Director and assistant to the head of the Corporate Bookings department. Based in our main office at Whitfield Street, normal office hours will be 9.30am to 6.30pm Monday to Friday, although some flexibility is required.

Ideal candidates would have previous agency experience in a similar role.

We’re looking for someone with excellent organisational skills, including knowledge of administrative management practices and procedures.

Apple Mac computer skills and proficiency in Office and Mac software packages including Pages, Numbers, Keynote and Powerpoint are essential.

Assistant to Agent, Theatre Film & TV (TFTV) Department

We’re looking for an experienced assistant with excellent communication and administrative skills, and a ‘can do’ team-player attitude to join our Theatre, Film and TV Department.  This role works with a senior agent, supporting the agent’s client list, but also supporting that agent’s running of the TFTV department.

We want someone with knowledge of the film and television industry who wants to continue building their relationships across the industry. Our ideal candidate will have an interest in working towards being an agent, but this isn’t a must. The most important thing is someone who sees this as a genuine opportunity to build their career whilst giving at least two years to the assistant role.

Promotion of the clients’ work, seeking out new opportunities for them both here in the UK and internationally, and safeguarding their interests is at the heart of what an agent does, so the successful candidate will need to quickly gain a comprehensive knowledge of clients’ work.

You’ll be providing dedicated client care to an impressive list of writers, directors and producers with confidence and professionalism, while offering comprehensive support to the agent. This role requires a clear and confident communicator, and someone with a pro-active approach to problem solving. You also need to be an efficient and organised multi-tasker, able to prioritise tasks across a varied workload.

Job purpose

As part of the company’s deeper expansion into the digital market, Insanity are looking for an exceptional Digital Assistant to join our ever expanding digital department.. The candidate will be responsible for a variety of duties from logistics, data collection and analysis through to document creation and liasing with brands. The individual has to have a high level of communication skills as they will be working closely with the digital managers to assist in the smooth running of the division and be responsible for administrative and reporting procedures.

The candidate will be motivated and an exceptional team player with a keen eye for attention to detail and has the ability to manage multiple tasks simultaneously to a high standard.

Duties and responsibilities

• Use data analytics packages to create reports and research.

• Communicate with the US team to assist in the implementation of backend procedures and processes.
• Assisting in the implementation of the divisions strategy.

Specifications

Required:

• Undergraduate Degree (preferably at 2:1 or above)
• Ideally knowledge of the digital influencer landscape
• Ideally knowledge of the entertainment business.
• Able to prioritise tasks and time manage.
• Competent IT abilities both with applications (Word, Microsoft, Excel, Mail, PowerPoint) and cloud based services (Gsuite).

Finance Assistant

Job purpose

Insanity Group is a rapidly growing media company operating in the music, broadcast, live and digital markets. Insanity represent top tier broadcast and music talent and operate a record label in partnership with Sony Music.

An essential position within this expanding company, the Business Affairs Assistant will work directly alongside the Finance Executive and Business Affairs Executive in a supporting role and will report to the Finance Executive.

Essential tasks include being the main contact for invoicing and credit control together with undertaking administration and filing for the department. The Finance Assistant must be capable of stepping in to carry out essential functions in the event of colleagues’ absence and willing to support wider company operations where needed, for example in supporting with meetings and other operational arrangements. There is also scope for project management responsibilities such as implementing new systems etc.

Duties and responsibilities

• Generating and issuing invoices using Wrike project management software, Xero and Arrange It software programmes
• Effectively managing credit control for the whole company
• Reconciling payments on our accounting software Xero, with an understanding of how this effects the book keeping
• Assisting the Finance Executive in producing the Quarterly VAT Return
• Managing petty cash
• Arranging client payments and sending remittances
• Assisting the Finance Executive and Directors with Ad-hoc tasks
• Liaison with the in house finance and legal team and the company’s external accountants
• General administration for the Finance team
• Answering and redirecting incoming telephone calls
• Carrying out due diligence on business transactions
• Contributing to ensuring that business risk is managed appropriately
• Encouraging professionalism and probity within the business
• Ability to deputize for the Finance Executive during periods of leave

Specifications

Required:

• Working towards a CIMA, ACCA or ACA qualification
• 2-3 years’ experience of working in a finance role
• An interest in the media industries
• Excellent negotiation / mediation skills
• High levels of assertiveness, confidence and influencing skills
• Ability to think under pressure, remain calm in situations of contention, project a pro-social & professional image at all times and lead by example
• Outgoing, friendly with a ‘can do’ attitude
• Great time management skills

Assistant to Agent

ASSISTANT TO FILM/TV AGENT

We’re currently recruiting for a highly experienced Agent’s Assistant to work directly for an Agent straddling books, television, theatre and film, representing screenwriters, authors, directors and composers.

Responsibilities will include all aspects of talent management – dealing with clients, theatres, broadcasters, publishers and producers on a daily basis, diary management, processing and keeping track of contracts, updating client biographies, responsibility for the invoicing and tracking of client payments and generally maintaining the smooth running of the office.

The successful candidate will have exceptional organisational, written and verbal skills, a good knowledge of (and passion for) film and television, have a can-do attitude a keen eye for detail and be proficient in the use of MS Office. We are looking for candidates with strong experience who have previously assisted a literary agent and politely ask that only those with relevant experience apply.

The Identity Agency Group (IAG) is one of the UK’s leading personal management agencies.

We are looking for an Assistant to grow within the company. The successful applicant’s primary duty will be assisting the Head of the company and his Associate on key high profile projects. Tasks will also include answering calls, scheduling, data entry, liaising with clients, marketing, and general office duties. Researching will be a vital aspect of the role so candidates will need proven experience.

We are looking for someone who is extremely organised, with excellent written and verbal communication skills and able to work under pressure with high profile clients to come in 2 days a week.
