Assistant/Junior Assistant

Accelerate are looking for an assistant and a junior assistant to join us as soon as possible.
We are hoping to meet some bright and self-motivated candidates who genuinely wish to progress within the industry, specifically in the agent/managers sector.
The perfect assistant candidate will have at least a year’s experience in a talent agency/casting office, a working knowledge of Tagmin, good editing skills and fabulous people skills and will be comfortable dealing with clients, casting directors, producers etc.
Our junior assistant does not need any previous experience but must be keen to learn and have a positive attitude to getting involved in all aspects of office life whilst getting to know the business and supporting the rest of the team.
Both roles will be actively involved in the running of a small but busy office day to day.

Tasks will include (but are not limited to):

– Answering phones
– Updating Tagmin
– Setting meetings
– Making casting suggestions
– Co-ordinating client meetings/castings
– Reading/breaking down scripts
– Invoicing
– Managing expenses
– Theatre trips
– Processing clients’ contracts
– Updating showreels/client materials
– Arranging & attending publicity events/premieres with clients

– Looking after upkeep of the office

Both roles will be predominantly office based. We are located in the West End of London.

Agent’s Assistant

Gordon and French are looking for a brilliant, intelligent and self motivated Agent’s Assistant, with relevant previous experience, to join our hard working team.

The perfect candidate must have exceptional administrative skills, a keen eye for detail and the confidence and resilience to be responsible for the running of certain elements of a list. They should be technologically astute, ideally with a flair for editing and knowledge of Tagmin. They should also know that they enjoy working within this specific area of the industry.

All assistants help with the day to day running of the G&F office, so a positive, can do attitude and a desire to get things done is essential.

Agent’s Assistant

Agent’s Assistant – Part Time

Beresford Management is a vibrant, boutique Theatrical Agency situated in Twickenham, representing a select client list of exceptional talent across TV, Film and Theatre for 15 years.

We are looking for an assistant to join the Beresford Management Team!

This is an exciting opportunity to join an established agency and the ideal candidate should have the following skills/experience:

Previous experience in a talent agency or casting office is desirable
Excellent communication skills, computer literate with a strong telephone manner
Knowledge of Spotlight and other casting platforms
A keen interest in TV, Film and Theatre

Financial Controller

42 is a fully integrated management and production company, producing film, television and content, representing actors, writers, directors, comedians, presenters, producers, casting directors and media book rights; with offices in London and Los Angeles.

It is seeking a full time Financial Controller.
This role reports into the CFO and the successful candidate will be responsible for:

42 M&P Ltd Financial Management (25%)

• Line manager responsibilities for Financial Accountant; providing ongoing support, development and experience sign off for qualification
• Ensure quality control over financial transactions; managing and reviewing the work produced by the Financial Accountant e.g. Month end, VAT returns
• Preparing UK payroll and responsible for company pay, p11Ds and pension queries for CFO approval
• Issue resolution
• Constantly seek improvements to existing systems and processes. Optimise processes and implement automation where possible e.g. financial systems, AP, expense management
• Credit card and personal expenses approval
• Coordinate the month-end and year-end close process and ensure internal and external deadlines are met

Group Annual Audit (25%)

• Responsible for leading the annual audit for 42 M&P and its group companies
• Coordinate with external auditors to prepare accounts and tax returns
• Preparation of group SPV accounts and tax returns
• Preparation of quarterly group consolidation
• Ensure company records are well maintained and are readily available for examination
• Ensure that accounts and confirmation statements are submitted to Companies House on a timely basis

Client Payments (50%)

Client Payments department is responsible for managing the finances on behalf of our clients we manage. Tasks performed by the team include invoicing; preparing client statements; handling significant volumes of client payments; liaising with client teams in respect to outstanding payments; managing commission, VAT and withholding tax; and responding to client and manager queries.

• Oversight and leadership of 42’s US and UK client payment department, providing a working interface between the client teams and finance team.
• Line manager responsibilities for Client Payments Lead and providing leadership support of the 4 members of the Client Payments team along with experience sign off for qualifications
• Overarching responsibility for correct VAT, W9 forms and withholding tax treatment and ensuring agency and client payments are managed appropriately with prompt and accurate payments
• Second approver of twice week client payment for 42’s Client Payment departments
• Responsible for managing any ad hoc projects within Client Payment e.g. Agency accounts, Client accounts, VAT and Outstanding payments
• Review of month-end commission
• Responsibility for identifying and delivering continuous improvements within Client payments processes and systems to increase accuracy, automation, controls and efficiency, with a focus on continued integration of the Client Payment team within the wider business
• Issue resolution (internally and externally) and a point of escalation for the business
• Monitoring and delivering Client Payment best practices and training within the team and across the business
• Working with Tagmin as Tagmin super-user and system administrator to improve capabilities of tool

The ideal candidate will possess the following attributes:

• Be qualified with ACA/ACCA/CIMA professional accountancy qualification with post qualified experience
• Have a strong academic record with first degree 2:1 or above.
• Have experience of working within the entertainments industry ideally within a management company.
• Experience of managing and developing staff
• Experience working within a fast-paced finance function.
• Demonstrate strong financial understanding with thorough knowledge of accounting principles and procedures.
• Solid knowledge and interest in mechanics of VAT, Withholding tax and impact of exchange rates
• Skilled at in-depth financial analysis and providing expert financial perspective and opinions.
• Excellent attention to detail and problem-solving abilities.
• Be organised, self-motivated and focused on constantly improving (self, processes and systems)
• Have great communication skills and the ability to interact at all levels and departments of the organisation.
• Be a positive character with opinions you are not afraid to voice.
• Highest standard of accuracy and place importance in only circulating highest quality work
• Excellent Excel skills
• Knowledge of SAGE would be an advantage.
• Candidate must be confidence a self-starter, able to work independently and across different priorities with a can-do attitude.

The role is full time and requires being based in our Central London Offices. Candidate could work 1 day a week from home. Office working hours are 0900-1800 or 0930-1830. Licensing and Administration Assistant

Role Overview
A licensing and administrative assistant to two busy theatre agents, providing general administrative support to their executive assistant and associate and handling the English Language licensing of client work. Please note, full training will be provided in respect of all licensing and contractual work.

Main duties:
• Handling professional licensing requests in the UK and abroad, including negotiating terms (in collaboration with the primary agent), issuing and executing licences, and liaising with third parties to oversee payments.
• Negotiating (as directed) and administering other contracts and permissions licences, such as publication deals, radio drama agreements, digital distribution licences, etc.
• General administrative support and assistance for Mel Kenyon and Rachel Taylor’s offices, to include: filing contracts, invoicing client payments, updating and maintaining client CVs and biographies, compiling and circulating play reviews, taking meeting minutes, booking meetings, making travel arrangements, arranging house seats, updating monthly show listings, compiling expenses etc.
• Creative engagement with theatre department colleagues, reading and discussing scripts, seeing and reporting on theatre productions.

Essential Skills
• Excellent interpersonal skills with the ability to communicate effectively with a wide range of people in a professional context, and to build excellent personal relationships with clients, colleagues, your line manager, and external contacts.
• Excellent organisational and administrative skills with close attention to detail.
• Ability to prioritise multiple tasks while working in a fast-paced environment.
• An enthusiasm to work with writers/directors/creatives (rather than actors).

Preferred Experience / Skills
• Contractual and / or legal knowledge.

FULL TIME AGENT’S ASSISTANT

TTA is currently recruiting an Agents Assistant in busy agent’s office in Hatfield, Hertfordshire. Very close to Hatfield train station. 15 minutes by overground train from Finsbury Park.

FULL-TIME POSITION. TO START ASAP.

The ideal candidate will be working closely with all the agents to handle the administration and daily tasks that come through the agency. Ideally have experience working for an agency, working with Tagmin and Spotlight. Hours are 10am-6pm Monday – Friday.

Main Duties:
• Handling incoming calls and emails and distributing them to agents as required.
• Booking in meetings, self-tape auditions and recalls directly with clients via Tagmin.
• Work will involve working with agents for child and adult actors.
• Liaising with clients about availability
• Updating internal systems such as Tagmin and Spotlight.
• General administration duties, including but not limited to, photocopying, filing, printing, post etc.
• Welcoming actors for meetings.

Bookkeeper

After 20 wonderful years our lovely bookkeeper is retiring so we are now looking for someone to join us for the next stage.

The role is quite open at the moment as there is a possibility to split the workload so that the company work is done by our accountants and the actors payroll is done in house. It is currently facilitated by one person on a part time basis of 3 days per week.

We are currently on Agentfile but will probably be making the transition to Tagmin in the very near future.

We would like someone who is office based.

As you can tell this is quite a good time for someone to have input into how this job is done.
Ideally you would have worked for a theatrical agency so have an understanding of the industry processes.

Key Responsibilities

– Daily Office Administration: handling a high volume of emails and calls from clients and industry professionals e.g. casting directors, producers and commissioners. – Live Work: assist agent in booking, invoicing and managing client’s Live work for comedy clients.

Key Qualifications and Skills
