Assistant position

We are looking for a new assistant to join the team. This role would be to assist two managers in the acting department. The ideal candidate would have some office experience in the industry but essentially a genuine passion and interest with exceptional organisational skills.

Duties would include but not limited to:
Managing diaries, meetings and expenses for managers.
Welcoming guests + clients into the office.
Answering phones and handling incoming requests from clients/producers/casting.
Updating client document (client biography, headshots and showreels)
Organising all incoming + outgoing client scripts and creating team reading list
Reading and breaking down scripts (aka coverage)
Website Updates
Sending casting suggestions
Processing and tracking all client contracts
Organising client ADR, publicity request if required and invites + client travel
Coordinating client gifting and fan mail
Raising invoices for client jobs and tracking payments / liaising with production Accountants + B- side accounts.

Salary; minimum £30K per annum
Candidate must be based/or able to relocate to London and available to work in the office a minimum of 4 days a week.

Agents’ Assistant

AK Agents is seeking an Agents’ Assistant across our client base.

Intern

Waring McKenna is seeking an intern to assist with office administration and to offer holiday cover to our team. The chosen individual will have a keen eye for detail, an exemplary phone manner and a proactive mindset.

This role is paid pro-rata, working 3 days a week in-person from our offices in Neal’s Yard, Covent Garden.

The ideal candidate will:
• have experience working in a busy office environment.
• have genuine enthusiasm for the industry, across television, film and theatre.
• have some knowledge of iMovie, Word and Excel and ideally Tagmin, although training will be given.
• have a calm and professional manner, a friendly, welcoming demeanor and positive attitude.
• maintain an ability to effectively prioritise, use common sense and be proactive with tasks.

Responsibilities will include, but are not limited to:
• logging incoming projects, availability checks and self-tapes for clients on Tagmin,
• updating client CVs and our website.
• downloading and uploading clients’ tapes and showreels to Vimeo and Tagmin.
• collating and editing clients’ work from film and television projects for showreels.
• assisting and reading for client self-tapes in our studio.
• reading incoming scripts and creating breakdowns for the Agents in a swift and effective manner
• dealing with incoming post, fan mail and other general office administration.

This would be a perfect opportunity for someone looking to take their first step in the business and learn more. Prior relevant experience would be welcomed but is not essential.

Assistant to Talent Agent – Markham, Froggatt & Irwin

Do you have a passion for the world of film, theatre and television? Markham, Froggatt & Irwin represent some of the industry’s best actors, presenters, and writers. An exciting opportunity has arisen for an assistant to join them and support one of their agents.

The role of an agent’s assistant centres around ensuring the smooth running of the agent’s office through effective organisation and exceptional client care. Client promotion, seeking new opportunities across the industry globally and safeguarding their interests is at the heart of what an agent does. The successful candidate will need to quickly gain a comprehensive understanding and knowledge of each of the client’s work and specific requirements, building loyalty to MF&I and The Curtis Brown Group.

Our ideal candidate will have excellent communication skills, both verbal and written; exceptional organisational skills; a keen eye for detail and accuracy; resilience and adaptability; and an enthusiasm for film, theatre and television. Whilst this role is collaborative in its nature and will involve working closely with the Agent, there is also regular level of independent working, and so our ideal candidate will have confidence using their initiative and problem-solving autonomously. Some experience in an administrative role would be useful, and some experience working within the creative industry, e.g. in a talent/casting agency or in a supporting role for a television/film department of an agency, would be beneficial although not essential as we will provide the relevant training and support.

Salary Range: Competitive salary, dependent on experience

Talent Assistant

In this role you will be supporting one of our Agents and working on a list of established clients and an exciting growing list of up-and-coming talent too. They are looking for a passionate and hard-working person who is excited about the opportunity to work for a rapidly growing agency and take their career to the next level.

Duties will include:
o Reading scripts and providing breakdowns
o Answering calls; speaking to and dealing with clients and industry professionals
o Support with scheduling client’s diaries with auditions, ADR, travel, press etc
o Handling queries for and on behalf of clients
o Tagmin admin, including auditions, tapes, invoicing and diaries
o Editing clips and showreels
o General admin support and office responsibilities such as diary management, office expenses, booking travel and conference calls

What you need:
• Experience at a talent agency and a relationships with Casting Directors and their assistants
• Basic PACT/Equity contract knowledge
• Spotlight knowledge
• Experience in a fast-paced environment

Agent’s Assistant – Actors/Comedy Department

United Agents Ltd. (UA) is one of London’s leading talent agencies encompassing the worlds of film, TV, books, theatre and comedy.

We are currently looking for a full-time assistant to support a Senior Talent Agent together with their Associate within the Actors and Comedy Department. You will be an integral member of the team supporting an experienced and busy office who represent comedy writer-performers, comedians, actors and writers.

This is a very busy office looking after some high-level talent and as such, there will never be a dull moment. You will need to have excellent organisational skills, a proven passion for comedy, be a good multi-tasker, have a strong eye for detail and provide exceptional client care. The role will also require full PA support for the Agent.

 Responsibilities:

Handling a very high volume of emails and calls, both from clients and external industry eg casting directors, producers, commissioners etc.
Going to see clients in comedy, theatre, screenings
Keeping abreast of exciting new talent by attending comedy nights, drama school showcases and various other performances  
Processing contracts, issuing invoices and keeping track of money
Providing full administrative support to the agent, the associate and the office as a whole  
Speaking with Clients, Casting Directors, Producers on a daily basis.  
Script and book reading
Organising auditions / meetings / client tapings  
Client submissions via Spotlight and on email  
Building client material, putting together showreels  
Ensuring client CVs are up to date  
Diary management for the office, the agent, associate and the clients - which is often complicated in nature across many different time zones. Key clients diaries in particular need extra special attention and keeping on top of updating i-cals
Booking and arranging international and domestic travel for the agent, associate and sometimes for clients
Liaising with US agents and managers on clients with US representation
Supporting clients in-person, as well as identifying potential new talent, at events and festivals, such as the Edinburgh Fringe in the month of August
Attending comedy previews and our bi-annual Comedy Showcase

Qualities and Skills:

Having a good overview of clients work and where they are in the UK and US entertainment industries
Immersing yourself in the comedy industry and being aware of the important people
A real passion for and enjoyment of comedy, film, television, and theatre  
Relevant prior experience is essential
Being able to work well with other members of the department and team   
Strong capability to multitask
Be able to work under pressure, with tight deadlines and be able to prioritise accordingly.
Trustworthy and accurate as you will be dealing with highly confidential material and client information 
Outstanding communication skills - you really cannot share too much information in our office
Very strong attention to detail and organisational skills
Can-do attitude   
Good sense of humour
Calm under (sometimes intense) pressure
Being super invested in the job
Emotionally intelligent and intuitive – eg knowing when to just offer a cuppa at moments of stress

Our Floating Assistants work across all offices within our Actors Department, providing additional support and holiday cover within Agent’s offices when necessary. The role requires someone who is hugely adaptable and has great attention to detail, and would suit an individual keen to take the next step in their career, working with a number of high profile offices.

We’re looking for a candidate with exceptional organisation, written and verbal skills who has a good knowledge of film, television and books. A can-do attitude is important, as is proficiency in the use of MS Office. It would be helpful if the successful candidate has at least one year’s experience either having worked in an agency or casting and be happy to turn their hand to anything.

Role Overview
An Assistant to two Film and TV Agents assisting generally in the Film and TV department, you will be providing administrative support to the agents and their assistants.

MAIN DUTIES:
• Keeping on top of a busy inbox with lots of incoming emails.
• Taking and fielding calls for your office and for reception from time to time.
• Managing diaries and setting meetings for the agents and their clients.
• Proactively providing information that is needed on companies/projects in advance of meetings.
• Organising travel/accommodation/meeting itineraries, for festivals or set visits.
• Reading and reporting on material sent in by production companies as well as clients’ work and sharing feedback.
• Building an understanding of different production companies and where to submit client projects when asked by agent and chasing responses.
• Ensuring that we have up-to-date details of where producers/execs currently work, and previous credits/projects in development.
• Ensuring that client and producer contact details are updated on ACT.
• Making enquiries with publishers/literary agents to discover whether film/TV rights are available.
• Providing client bios for open writing and directing assignments.
• Tracking film and television projects and updating project information on the database.
• Keeping track of contracts (tracking the status of contracts being negotiated, circulating for signature, chasing up as necessary, ensuring we have fully executed copies).
• Putting together booking notices using information from contracts regarding details of payments to be invoiced.
• Working with the accounts team to keep on top of payments.
• Managing and administering client guild memberships (such as WGA/DGA/WGGB/ALCS).
• Keeping track of client ‘welcome packs’ (the paperwork we issue for signature to new clients) and co-representation agreements.
• Keeping client bios and CVs up to date.
• Maintaining social media and updating the website.
• Attend regular catch-ups with the agents, keeping track of what we need to do with each client.
• Taking minutes in meetings, occasionally.
• Handling festival invitations and press requests.
• Tracking and identifying talent.
• Corresponding with clients and helping them with basic queries – answering questions about whether funds have come in, if a payment has been invoiced yet, asking for a producer’s email address etc.

Experience & Skills
– A minimum of 6 months’ administrative experience in in the Film and TV industry.
– Exceptional attention to detail, organisational and forward-planning skills
– Excellent interpersonal and communication skills and confident telephone manner
